What a Bangalore reception really costs — 250 guests, worked math

Standalone hall — ₹2.5–4.5L all-in

Food ₹700/plate × 250 = ₹1.75L. Decor (stage + entry + centrepieces) ₹60–90k. DJ and sound ₹25–40k. Hall rent often folded into plate rate. BYOB bar if allowed: your bottle cost only. Add 18% GST on food and hall — ask for it shown separately.

Convention centre — ₹4–7L

Plate ₹1,200 × 250 = ₹3L. Bigger stages and parking, decor scales up to match the room (₹1L+). Music extensions easier in commercial zones. Watch minimum-plate billing — a 250-guest event billed at a 400-plate minimum is the classic surprise.

Five-star — ₹10L+

Plate ₹4,500 × 250 = ₹11.25L before bar. In-house decor tiers ₹1.5L+. Bar at hotel pricing. What you buy: a single contract, hotel service standards, and rooms upstairs. What you give up: every outside vendor.

The reception evening — a flow that works

5:30 PM decorator handover — walk the stage, test the LED wall and couple mics. 7:00 doors open, welcome drinks moving; the couple is NOT on stage yet — let the first wave settle. 7:45 couple entry — the one moment the whole evening is remembered by; brief the DJ and lights twice. 8:00–10:00 greetings on stage in family batches while dinner runs in waves — open the buffet by 8:15 or the queue forms at the stage instead. 9:45 last dance set before the 10 PM residential music cutoff. 10:30 hall clear; changeover maths matter if the venue has a morning event. The commonest mistake we see: families schedule the couple's dinner never — feed the couple at 9, on stage if needed. They have not eaten since morning.

For a 250-guest reception, realistic all-in budgets run Rs 2.5-4.5 lakh at standalone halls and Rs 10 lakh plus at five-stars once decor, DJ and bar are counted. Most standalone halls and kalyana mantapas do - ISKCON, Sri Sai, White Pearl, CMA Grand, Aura and Woodrose all accept outside caterers, sometimes with a Rs 50-150 per-plate corkage. Veloria Grand is in-house by default with outside caterers considered case by case. Hotel venues (Taj West End, ITC Gardenia, The Leela, Sheraton) mandate in-house catering almost without exception. Confirm the policy in the written quote, not on a phone call.

Evening 7 to 10:30 PM is the standard reception window. Two constraints shape it: BBMP's 10 PM amplified-music cutoff in residential zones (commercial-zone venues can sometimes extend to 11), and the caterer's dinner service window - most kitchens want the buffet open by 8:15 for a 250-guest crowd. If your muhurtham is the same morning, book a venue that allows a same-day changeover rather than paying for two venues.

Depends on the venue class. Hotels run their own licensed bars at hotel prices. Some standalone venues hold bar permits or allow BYOB - Veloria Grand allows BYOB with no corkage, which for a 200-guest reception can save Rs 1-2 lakh versus hotel bar rates. Kalyana mantapas and temple-linked venues (ISKCON) do not permit alcohol at all. Ask for the bar policy in writing along with who provides bartenders and permits.

Receptions flow - guests arrive in waves, greet the couple on stage, eat and leave - so you need less simultaneous seating than a seated dinner but more circulation space. Rule of thumb: hall capacity around 60-70 percent of your total invite list works for a flowing reception. A 300-invite reception fits a 180-220 capacity hall comfortably. Under-sizing shows up as buffet queues; over-sizing makes the room feel empty in photos.
